1. Who we are

CrewDog AI is a trading name of CrewDog Ltd, a company registered in England and Wales with company number 14167884. Our registered address is 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.

We decide how and why your personal data is used. Under data protection law, this makes us the controller of your data.

This policy explains what we collect, why we collect it and the choices you have. If you have a question, email hr@crewdog.co.uk.

2. What we collect

When you use CrewDog, we collect:

• Account details, like your name, email address and password.
• Your CV and profile, like your certificates, experience, location and when you’re available.
• Your searches and chat messages, for example “CSWIP 3.1 jobs in Abu Dhabi, contract”.
• Things you save, like jobs in your applications tracker, saved links and exports.
• Billing details, like your plan and payment history. Card payments are handled by Stripe, so we don’t see your full card number.
• Device and usage data, like your IP address, browser type and the pages you visit.
• Messages you send us, for example through our contact form.

If you search as a guest, without an account, we still collect your searches and device data.

3. People in our results

Our results include information about people who don’t use CrewDog:

• Job adverts, which can include the name of a recruiter or hiring manager.
• Hiring contacts at employers, like a name, job title, work email and work phone number. Paid plans show these.
• Inspectors who have said publicly that they’re available. We keep their name, headline, location, certificates and work history as shown publicly, and what they said about being available, with its link and date.

This information comes from public sources, like job boards, company websites and public social media posts, and from contact data providers, like Lusha.

We use it because we have a legitimate interest in helping people find work and helping employers fill roles. If you appear in CrewDog and want your details removed, email hr@crewdog.co.uk or use our contact form.

4. How we use your data

• To run your account and give you the features of your plan.
• To run your searches and answer your chat messages.
• To check the certificates a job asks for against yours.
• To take payments and manage your plan.
• To keep CrewDog secure and stop misuse, like automated copying of our results.
• To fix problems and improve CrewDog.
• To email you about your account. We only send marketing emails if you agree, and you can unsubscribe at any time.

5. Our legal reasons

The law says we need a valid reason to use your data. Ours are:

• Contract: we need your data to provide the account and plan you signed up for.
• Legitimate interests: to keep CrewDog safe, improve it and show job and hiring information. We only do this when it doesn’t override your rights.
• Consent: for marketing emails. You can withdraw consent at any time.
• Legal obligation: to keep tax and accounting records.

6. AI and your messages

Our chat search uses AI to understand your messages and find matching jobs. To do this, we send your messages to our AI provider, OpenAI.

AI answers can be wrong, so check important details, like certificates and dates, with the job advert.

7. Who we share it with

We only share your data when we need to:

• Service providers that help us run CrewDog, like hosting, email, payments and our AI provider. They can only use your data to provide their service to us.
• People you choose to share with. On Market Intelligence, client links you send can be opened without an account.
• Professional advisers, like our lawyers and accountants.
• The police, courts or regulators, when the law requires it.
• A buyer, if our business is sold. We’ll tell you before this happens.

8. Data outside the UK

Some of our providers are based outside the UK. When your data leaves the UK, we protect it with safeguards the law recognises, like data transfer contracts approved for this purpose.

9. How long we keep it

• Your account, CV and profile: while your account is open, and for 12 months after you close it.
• Search history and chats: until you delete them or your account is closed. Free shows the last 7 days.
• Billing records: as long as tax law requires, usually 6 years in the UK.
• Messages you send us: 12 months after we’ve answered.

10. Keeping it safe

We use technical and organisational measures to protect your data, like encrypting it when it travels over the internet and limiting who can see it. No system is completely secure, so please use a strong password and keep it to yourself.

11. Your rights

You can ask us to:

• Give you a copy of your data.
• Correct data that’s wrong.
• Delete your data.
• Limit how we use your data.
• Stop using your data, for example for marketing.
• Send your data to you, or to another service, in a common format.

To use any of these rights, email hr@crewdog.co.uk. We’ll reply within one month. Depending on where you live, local law may give you other rights too.

If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We’d appreciate the chance to help first, so please contact us.

12. Children

CrewDog is for people aged 18 and over. We don’t knowingly collect data from children.

13. Cookies

We use cookies only to sign you in and keep your account secure. We don’t use analytics, advertising or tracking cookies. Our Cookie policy lists each one.

14. Changes to this policy

We’ll post any changes on this page and update the date at the top. If a change is important, we’ll tell you by email first.
